I was paying $924 a year for ClickUp and using maybe 5% of it. That’s the trap with per-seat tools — you pay for a hundred features to get the two or three you actually need.
So I tried something: could AI turn my old Excel Gantt task manager into a real app my whole team could log into, for free?
Meet TaskFlow
TaskFlow is a live, multi-user project and task management app built straight from a spreadsheet — no code. It includes:
- Drag-and-drop Board (To Do / In Progress / Completed)
- Gantt timeline of the same tasks, draggable to reschedule
- Real team logins with admin/staff permissions
- Auto-overdue tasks, per-project colors, filters by project/person
How It Was Built
I connected Claude (Cowork, Opus 4.8) to a free Supabase database, attached my spreadsheet, and gave it one plain-English prompt. Claude asked a few questions, then built the app and database itself — in about 27 minutes, one sitting (not instant, but not weeks of dev work either).
The Hero Moment: Live Sync
I opened TaskFlow on two devices, moved a card on one — and it updated on the other in about a second. That’s a real multi-user app, not a one-person demo.
What “Free” Really Means
Database (Supabase) and hosting (Netlify) are free — no per-seat fees. The AI tool used to build it isn’t free, but it’s a one-time build versus a $924/year recurring bill. Hosting is one file dragged onto Netlify Drop, live in about 30 seconds.
Who It’s For
Excel users, freelancers, consultants, and teams currently paying per-seat for ClickUp, Monday, or Asana. Consultants take note: turning a client’s spreadsheet into an app like this is a sellable service.
